Introduction
This Privacy Policy is between the user of this website (you) and [Rhiannon Harris] of Lineve Counselling Services (LCS), the owner and provider of this website.
This policy explains how I, Rhiannon Harris, will handle the privacy of your information given. I will always keep any information provided through this website confidential. I will not contact you unless you indicate that you would like me to do so e.g by sending me an email or telephoning me. I will take all necessary steps to ensure that information provided is processed and held in accordance with all applicable laws and regulations.
This Privacy Policy applies to the use of any and all data collected by LCS or provided by you in relation to your use of the website. This Privacy Policy is designed to help you understand how LCS collect, use and share the information we receive from website visitors or clients.
Confidentiality
Everything that is discussed with LCS is confidential. That confidentiality will and can only be broken if you tell me that you are involved in any of the following:
- Committing a crime
- Harm of a child
- Serious physical harm to others
- Serious physical harm to yourself
- Or, if required to do so by law
I will always try to speak with you about this first unless there are safeguarding or legal issues that prevent this.
What Information is Collected?
The information that you provide LCS with is collected and processed by LCS in accordance with the Data Protection Act 1998 and subsequent legislation.
Information you provide to us:
There is a “Contact” page which enables you to send LCS an email. It is required that you complete the following fields: Full Name, Email, Phone Number and Message so that I can contact you and provide details of LCS services, as well as address general business enquiries.
Data collected is held on the grounds of being for legitimate business interests and/or to fulfil a contractual obligation. If you do not proceed with any of the services, your details will be deleted.
When you visit this website, the server collects IP addresses to provide security and prevent brute force or malicious attacks. These IP addresses are not linked to any other personal data.
Information you provide to other sources:
Personal information is collected from you via Jotform.com only if you proceed to the initial telephone consultation stage. This form is a confidential and private form sent to the email address that you provide. This is only for you to complete once you have booked in your telephone consultation with me. All required fields must be filled out, the form signed and submitted in order for us to receive the information you provide. If you save the form without submitting it, we will not receive any of the information that you have provided. Jotform.com also has its own Privacy Policy for users which can be found at https://jotform.com/privacy.
When someone visits this website, I use a third party service, Google Analytics, to collect standard internet log information and details of various behaviour patterns. I do this to find out things such as a number of visitors to the various parts of the website however information is only processed in a way that does not identify anyone. I do not make and do not allow Google Analytics to make any attempt to find out the identities of those visiting this website. Google Analytics also has its own Privacy Policy which can be found at: https://policies.google.com/technologies/partner-sites.
We may use social media platforms to engage with users and the LCS website contains links to said social media sites. We do not keep any specific data that can identify an individual user on social media, but we do have access to the usernames of our followers on these platforms.
We may need to obtain information from third parties about you. This will only apply where it is necessary to provide services to users and as permitted by law.
How your personal information is used
Your information will be used by LCS to enable us to provide services to you. I, Rhiannon Harris am the registered Data Controller of your information and undertake to protect your personal and sensitive data in a manner that is consistent with the requirements of the Data Protection Act and General Data Protection Regulation (GDPR). LCS will take reasonable measures to ensure the secure storage of your data.
Personal data submitted on this website will be used for the purposes specified in this Privacy Policy to include the following:
- Administer the website
- Improve your browsing experience by personalising the website
- Follow up with correspondence email enquiries
- Send you general non-marketing communications in response to your enquiries
- Send you email or text notifications which you have specifically requested
- Ask for reviews or feedback on services
Users of this website do so at their own discretion and provide any such personal details at their own risk.
Sharing Information
Disclosure:
LCS does not share, sell or distribute your data to third parties except as provided in this Privacy Policy. Your data may be shared with contractors working on the behalf of LCS, who act on my instruction only in relation to the management of your data and must adhere to all data protection laws and regulations. Data processors will be required to have a signed agreement with LCS to ensure accountability.
LCS will only send you emails about services with your express consent. You have the option not to give consent and to withdraw consent at any time. You may withdraw your consent by contacting rhiannon@linevecounsellingservices.co.uk.
LCS may disclose your personal information only if we are required to do so by law, in connection with any legal proceedings and in order to establish, exercise or defend our legal rights or if otherwise legally permitted.
Retaining Your Data
Data collected from this website will be retained only for the purposes of booking in an appointment for a telephone consultation or to respond to enquiries made.
All digital data collected via this website will be immediately deleted if counselling sessions do not go ahead or the enquiry made has been answered.
Once the telephone consultation has taken place and further data is collected from you, please see below on how said data is stored by LCS.
Storage of Your Data
Your personal details and signed documents are all contained within a password protected document on a private business computer for the purposes of contact during you time in therapy.
You are assigned a unique reference number for the purposes of client session notes, invoices, payment receipts and instant messaging threads. There will be no personal details listed on these that could identify you in any way.
For the purposes of instant messaging counselling, your contact details are stored under your unique reference number and conversation threads are stored on a password protected mobile phone or private business computer.
Digital copies of session notes, invoices and payment receipts are kept in password protected documents on the same private business computer.
Hard copies of client session notes, invoices and payment receipts are kept in a locked folder within the business office for a period of 5 years which is an insurance requirement. Once this time period has passed these hard copies may be destroyed.
If you specifically choose for your information not to be stored in this way, this will impact your eligibility for counselling with Lineve Counselling Services as your contact information is needed in order to undertake counselling.

Users of this website are advised to adopt a policy of caution before clicking on any external web links defined as clickable text/banner/image links to other websites. Clicking an external link will take you away from this website. Once you leave this website or are redirected to a third-party website or application, you are no longer governed by this Privacy Policy.

Engagement, actions and communication through external social media platforms that this website and its owner participates on, are subject to the Privacy Policy held with each social media platform respectively.
Users are advised to use social media platforms wisely and engage with them with due care and caution in regard to their own privacy and personal details.
This website will not ask for personal or sensitive information through social media platforms and will always encourage users wishing to discuss sensitive details to use the contact page on this website.
Data Subject Rights
Subject access requests:
The General Data Protection Regulation (GDPR) gives individuals known as ‘data subjects’ the right to access personal data that is held by organisations by a subject access request. LCS will aim to respond quickly to any such requests which legally require LCS to respond within one month of receiving the request and necessary information. A formal request must be made by emailing rhiannon@linevecounsellingservices.co.uk. You must tell us how LCS acquired the information and provide proof of your identity and proof of address.
Right to rectification:
Data subjects have the right to request that we amend or change personal information that we hold about you, that is inaccurate or incorrect.
Right to erasure:
Data subjects have the right to ask us to delete personal information from our systems without giving any reason and at any time. We will act on any requests immediately without delay.
Right to data portability:
Data subjects have the right to obtain and transfer their data to different service providers.
Right to Object:
Data subjects have the right to object to the processing of data at any time. We will only process data where we can demonstrate lawful grounds for doing so.
Data subjects have the right not to be subject to decisions based on automated processing. We do not use any automated processing that results in any automated decision based on a data subjects' personal information.
